Epic Trivia

Privacy Policy

Last updated October 2026

This policy explains what personal information Epic Trivia & Bingo collects, why we collect it, who we share it with, and the choices you have. It applies to our website and app.

Information We Collect

Account information. Name, email address, and password when you register. Managers and hosts may also provide a phone number for event text reminders.

Venue and event information. Venue names and addresses, game dates and times, host assignments, team names, and scores you enter while running games.

Payment information. Purchases are processed by Stripe. We receive confirmation of the transaction, the amount, and the subscription status — we never receive or store your full card number.

Form submissions. Information you submit through the Hire a Host and contact forms, such as your name, email, phone, venue, and zip code.

Content you upload. Intermission slide images and any media you add to games.

Technical information. Basic usage and device data, and IP address, which we also use to rate-limit public forms and prevent spam.

How We Use Information

To create and secure your account; to run and deliver games, access codes, and results; to process payments and manage subscriptions and credits; to send transactional email and text reminders about your events; to respond to inquiries and match venues with hosts; to detect abuse and secure the platform; and to comply with legal obligations.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

Who We Share Information With

We share information only with service providers who help us operate the platform, under contracts that limit their use of it: our cloud application hosting and database provider, Stripe (payment processing), Resend (transactional email), Twilio (text reminders), and Google Calendar (only when you connect it, to sync your event schedule).

If you request a host, we share the contact and venue details you submit with the host we match you to, so they can reach you.

We may disclose information if required by law, or in connection with a merger or acquisition, in which case we will notify you.

Text Messages (SMS)

We use your mobile number only to send the transactional texts you agreed to receive. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties, except service providers (such as Twilio) who deliver our messages. You can opt out at any time by replying STOP; reply HELP for help.

Cookies and Similar Technologies

We use browser storage and cookies that are necessary for the app to work — keeping you signed in, remembering your session, and storing preferences such as your last purchased credit pack. We use limited analytics to understand feature usage. We do not use advertising or cross-site tracking cookies.

Data Retention

We keep account and event data while your account is active. When you delete your account from your dashboard, we delete your account data and associated venues and assignments. Records we must keep for tax, accounting, or legal reasons — such as payment records — are retained for the required period.

Security

Access to game and account data is restricted per user by row-level security rules, transmitted over encrypted connections, and limited internally to those who need it to operate the Service. No system is perfectly secure, but we work to protect your information and to notify you promptly if a breach affects it.

Your Privacy Rights

You may access and update your account information from your dashboard, and delete your account and its data at any time. To request a copy of your data or ask a privacy question, contact us through the contact page.

California residents (CCPA/CPRA) have the right to know what personal information we collect and how it is used and shared; to request deletion or correction; to receive a portable copy; and not to be discriminated against for exercising these rights. We do not sell or share personal information as those terms are defined under California law.

Residents of other states with comprehensive privacy laws — including Colorado, Connecticut, Virginia, Utah, and Texas — have comparable rights to access, correct, delete, and obtain a copy of their personal information. Use the same contact channel to make a request.

We will verify your identity before acting on a request and respond within the timeframe required by applicable law.

Children

The Service is intended for venue operators, hosts, and their staff, and is not directed to children under 13. We do not knowingly collect personal information from children. Trivia participants at events do not create accounts; only team names and scores entered by the host are stored.

Changes and Contact

We will post any updates to this policy here and revise the date above. For privacy questions or requests, reach us through the contact page.
